OFFICE COORDINATOR

Job description

SALARY RANGE: $20.00 per hour

POSITION STATUS: Part-time position, 30-35 hours per week within Monday – Friday: 8:30 – 4:00pm; evening, weekend and/or holiday hours may be assigned on occasion.

SUPERVISOR: Department Business Manager

SUPERVISORY CAPACITY: Supervises Volunteers assigned in program areas.

POSITION SUMMARY: Experience with accounting, proficiency in QuickBooks and Microsoft Office programs, ability to utilize proper cash handling controls and methods, work in a team environment, excel in customer service situations, and have good communication skills. Coordinates Reception and supports all departments in clerical/office work as assigned.

PHYSICAL DEMANDS: The following are required: sufficient mobility to work in an office setting including tours of the entire facility, and the use of standard office equipment (including a computer), vision to read printed materials and hearing and speech to communicate in person or over the telephone. Maneuver and lift chairs, tables and other equipment as needed for facility set-up. Must have the ability to lift 50 lbs. and be able to climb and descend ladder. Accommodation may be made for some of these physical demands for otherwise qualified individuals who require and request such accommodation.

DUTIES AND RESPONSIBILITIES:
• Processing accounts receivable and accounts payable.
• Prepare and post deposits.
• Balance checking accounts.
• Manage petty cash funds.
• Receive and receipt multiple transactions from departments and activities at the Senior Center.
• Prepare reports as requested.
• Gather information for tax returns, audits, and fiscal monitoring as requested.
• Obtain and maintain a notary license if necessary.
• Greet guests, give tours, and assist with requests, information, and referrals.
• Receive and distributes mail.
• Files all documents and backup according to document retention schedule.
• Train reception volunteers and coordinates schedules in the reception area.
• Assist with the management of social media pages and posts.
• Completes with clerical duties as assigned.
• In the absence of the Volunteer Coordinator, greets prospective volunteers, answers questions, schedules interview and on-boarding.
• Assist with the planning and execution of the volunteer appreciation and recognition events.
• Cross-train to cover in the absence in all program areas including but not limited to reception, volunteers, dining room, kitchen, Meals on Wheels, etc.
• Assists with fundraising events and activities as scheduled.
• Assist in the setup of activities and events.
• Works closely with the Director in a supportive role.
• Other duties assigned.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
• Comprehensive understanding of accounts receivable, accounts payable, and GAAP.
• Computer skills including QuickBooks Online, Quickbooks Payroll, MS Office, specialty software, databases.
• Friendly, outgoing and, customer service focused, establishing cooperative working relationships with all staff members, volunteers, and the public.
• Assure that the facility remains clean, sanitized and within the regulations of all regulating offices.

SPECIAL REQUIREMENTS: Must have a valid Nevada driver’s license, must provide a copy of their driving record upon hiring, and must pass a background check with fingerprinting.  This position has a 90-day probationary period.  This position announcement lists the major duties and requirements of the job and is not all-inclusive. VOLUNTEER COORDINATOR

Job description

SALARY RANGE: $20.00 per hour

POSITION HOURS: Part-time position, 20-25 hours per week within Monday – Friday: 8:30-1:30pm; evening, weekend and/or holiday hours may be assigned on occasion.

SUPERVISOR: Department Business Manager

SUPERVISORY CAPACITY: Supervises volunteers.

POSITION SUMMARY: Coordinates volunteer services for various program areas at the center. Recruits, interviews, assigns volunteers to program areas, conducts training for volunteers (on-boarding and on-going), and plans the annual volunteer appreciation event and volunteer recognition opportunities throughout the year. Assists with activities, events, speakers, and programs to create an engaging and exciting environment at the Senior Center.

DUTIES AND RESPONSIBILITIES: (The following is used as a partial description and is not restrictive as to duties required.)
• Manage volunteer recruitment: review applications, interview, orientation, scheduling, trainings, and volunteer meetings for all program areas.
• Supervise volunteers in the dining room for daily lunch.
• Fill-in for dining room responsibilities if there is a volunteer shortage.
• Oversee the operation of the dining room (front of the house) during lunch as the point person in charge, making daily announcements, and assisting in all areas as needed.
• Assist in the setup of activities and events.
• Review and update Volunteer Handbook and Safety Training at least annually.
• Review and sign volunteer time sheets.
• Manage and plan the volunteer appreciation and recognition events.
• Coordinate seasonal decorations of the facility and the dining room plus manage the organization of stored supplies, request new items, and install decorations.
• Assist with the management of social media pages and posts.
• Assist with fundraising events and activities as scheduled.
• Assist with the publishing of the monthly newsletter, menu, and activity calendar. Write a monthly volunteer spotlight article.
• Manage the distribution of the monthly newsletter, menu, and activity calendar including the Meals on Wheels donor envelopes, mailers, and other distribution as assigned.
• Greet guests, give tours, and assist with requests, information, and referrals.
• Cross-train to cover in the absence in all program areas including but not limited to reception, business office, kitchen, Meals on Wheels, etc.
• Other duties as assigned.
